Privacy Policy

ChapterIQ is made by Grumpy Gopher, LLC, a Montana limited liability company. This policy explains what information we handle, why we handle it, where it lives, and what you can do about it. The short version is that we collect what the service needs to run a meeting, we do not sell it, we do not run ads, and the organization that invited you stays in control of its own data.

This policy covers three groups of people, and each section says which group it applies to. If you are reading this because a text message or an invitation pointed you here, the section called Members and invitees is the one about you.

Visitors to this website

This website sets no cookies. It uses Cloudflare Web Analytics, a cookie-free measurement tool that stores nothing on your device and shows us only aggregate counts: how many visits, which pages, which countries, and which sites linked here. It cannot identify you, and we could not recognize you in it if we tried. Loading the measurement script is the one request a page makes to a third party. The fonts are served from our own site rather than from Google. The site is hosted on Microsoft Azure, which keeps ordinary web server logs of requests for a short period to keep the service running.

The "Request a pilot" form does not send anything from the page itself. When you submit it, it opens a message in your own email program addressed to info@chapteriqevents.com. We use the email address and organization name you send us only to reply to you about a pilot.

Staff who use ChapterIQ

Staff at a customer organization sign in with the Microsoft 365 or Google work account they already have, through Clerk, our authentication provider. We receive the name and email address on that account and use them to run the account, record who did what inside the service, and contact you about it. We never see or store a password.

The service keeps an audit log of the actions staff take, such as creating an event, sending a message, or exporting a report. The organization's administrators can see that log. We keep technical logs about how the service is behaving, such as requests, errors, and timings, in Microsoft Azure. Those logs are about the service, not a record of your content.

Members and invitees

Most of the people whose information passes through ChapterIQ never sign in to it. They belong to a member company, firm, or agency that is part of a chapter-based network, and that network uses ChapterIQ to invite them to meetings. In privacy terms, the network is the controller of that information and we process it on the network's behalf. If you have a question about why your organization holds a piece of information about you, the organization is the right place to ask first. If you ask us, we will route your request to them and help them answer it.

What we hold about you. Your name, work email address, employer, title, and chapter come from your organization's membership records, usually its CRM. If your organization provides a mobile number, we hold that too. As you use the service we add the invitations you received, how you responded, any dietary or accommodation needs you told us about, whether you attended, and the messages we sent you.

Why we hold it. To invite you to meetings, to record your response, to remind you when you have not answered, to check you in at the door, to tell the venue how many people to expect, and to report attendance back to your organization. That is the whole list.

Who can see it. Staff at your own organization, limited to the chapters they are responsible for. Venues and caterers receive headcounts and dietary totals for a meeting, but not names. A sponsor who paid for a meeting can receive a list of who attended, but only if your organization turns that on and only if you have not declined to be included. You can decline at any time from your RSVP page, and you will still be counted without being named.

Dietary and accommodation needs. We treat these as sensitive. They are visible only to the staff running the meeting, they are never written back to your organization's CRM, they are never shared with a sponsor, and your organization can set a rule that deletes them a fixed number of days after each meeting.

Personal links. Invitations and reminders carry a personal link that lets you respond and check in without an account. The link is signed and expires, and anyone who has it can act as you for that meeting, so treat it like a ticket rather than forwarding it.

Text messages

ChapterIQ can send text messages on behalf of your organization, but only to people who have opted in. Our SMS Terms explain what the messages are, how often they arrive, and how to stop them. Two commitments belong here as well:

Your mobile number and your opt-in record are used only to deliver the messages described in the SMS Terms. Replying STOP to any message ends them.

Email

Invitations, confirmations, and reminders are sent by email from an address that carries your organization's name. Replies go to your organization's chapter manager, not to us. We record whether a message was delivered, bounced, or was opened, so that your organization can see who has not seen an invitation. We do not use those records for anything else.

Who else touches the data

The service runs on a small number of providers, each of which processes data only to provide its service to us and under its own data-processing terms.

• Microsoft Azure for hosting: the database, file storage, the servers, operational logs, and text message delivery through Azure Communication Services.
• Clerk for staff sign-in and the emails it requires, such as sign-in links.
• Twilio SendGrid for delivering invitations, confirmations, and reminders by email.
• Cloudflare for DNS and for aggregate, cookie-free analytics on this website only.

When a customer connects its own CRM, such as Salesforce, HubSpot, or Dynamics 365, the data flows between that customer's own system and ChapterIQ under the customer's control. We do not sell personal information to anyone, and we do not share it with anyone else except as required by law.

Where the data lives

All customer data is stored in Microsoft Azure data centers in the United States.

Retention and deletion

Your organization decides how long its meeting history is kept, and it can export everything it holds, as CSV or Excel or through the API, at any time. When a customer's contract ends, we keep its data for 90 days so it can be exported, and then we delete it. Deleted data disappears from the live service immediately, and copies in operational backups age out with those backups over a short period.

Your rights

Wherever you are, we honor the substance of modern privacy law. You can ask what we hold about you, ask for it to be corrected or deleted, and ask us any other question at info@chapteriqevents.com. If your information reached us through a member organization, we will involve that organization in answering, because it is the one that decides. If you are in a jurisdiction with specific statutory rights, such as the EU, the UK, or California, those requests go to the same address and we will handle them within that law's timelines.

Age

ChapterIQ is a service for organizations, and the people who sign in to it must be 18 or older. We do not knowingly collect information about children. If you believe a child's information has reached us, contact us and we will remove it.

Changes

If we make a material change to this policy, we will change the version above and tell our customers before the change applies. We will not quietly start collecting things this page says we do not.
