Refund and Cancellation Policy
This policy is part of the Terms of Service between your organization and Grumpy Gopher, LLC, the Montana company behind ChapterIQ. It explains what happens to your money and to your data when you cancel, change plans, or ask for a refund.
1. 30-day money-back guarantee
If a paid plan is not working out, tell us within 30 days of your first payment and we will refund it in full. You do not have to give a reason. This applies to the first payment on any plan, monthly or annual. Pilots are free, so most organizations have already seen their own numbers before the first payment, but the guarantee is there either way.
2. Who charges you, and who issues the refund
There are two ways to pay for ChapterIQ, and the refund comes from whoever took the payment.
- Monthly plans are paid by card and processed by Paddle, which acts as the merchant of record. That means Paddle is the seller for the transaction: the charge on your statement and the receipt in your inbox come from Paddle, not from us, and Paddle handles sales tax and VAT. We never see or store your card details. A refund of a card payment is issued by Paddle and returns to the card that paid.
- Annual plans are invoiced by Grumpy Gopher, LLC and paid by ACH, wire, or check. A refund of an invoiced payment comes from us, by ACH to the account you name.
You can ask for a refund either way and it reaches the same place. Email us at info@chapteriqevents.com, or, for a card payment, use the receipt from Paddle, which links to their buyer portal. How quickly the money reappears is your bank’s decision, not ours. A few business days is typical.
3. Renewals
Monthly plans renew each month until you cancel, and Paddle sends a receipt for every charge. If a renewal charges you and you had meant to cancel, tell us within 14 days and we will refund it, provided no event has been created or sent since the renewal date. We would rather refund a forgotten renewal than argue about it.
Annual plans renew for another year unless you tell us before the renewal date that you do not want to, as the Terms of Service describe. There is no notice period: any time before the renewal date is enough. About 30 days before the renewal date we send a written reminder with the date, the price for the coming year, and how to decline, together with the renewal invoice. Nothing is charged automatically, because an invoice has to be paid to take effect. If you decline, the invoice is withdrawn.
4. Annual plans
Annual plans are billed for the year. After the 30-day window in section 1, we do not refund the unused part of a year, but cancelling never cuts your access short. You keep the paid plan until the period you have paid for ends, and it simply does not renew.
5. Cancelling
A monthly plan can be cancelled at any time, directly from your billing settings. There is no cancellation fee, and nothing to email, call, or chat with us about. Your billing settings also link to Paddle’s customer portal, where you update a card or download past receipts. An annual plan is cancelled by telling us at info@chapteriqevents.com at any time before the renewal date.
Cancelling takes effect at the end of the period you have already paid for. You keep everything your plan carries until then.
6. Changing plans
Moving to a larger plan takes effect right away, and the difference for the rest of the current period appears on the next invoice or card charge. Moving to a smaller plan, or removing an additional chapter, takes effect at the next renewal, and we do not refund part of a period for a chapter you stop using before it ends. Metered SMS reminders are billed for the messages actually sent and are not refundable.
7. What happens to your data when a plan ends
This is the part most policies leave vague, so here it is exactly.
- We do not delete your data because a subscription ended. Organizations, people, events, responses, and attendance history all stay where they are for 90 days after the plan ends.
- You can take it all with you. During those 90 days you can export everything as CSV or Excel, or pull it through the API, without asking us. Export is available on every plan and at any time, not only at the end.
- After 90 days we delete it. Deletion is permanent, so export first. If you need longer, tell us before the 90 days are up.
- Your members are not contacted. When a plan ends, no invitations, reminders, or follow-ups go out in your organization’s name. Personal RSVP links stop working rather than pointing at a stale event.
8. Chargebacks
If something looks wrong on your statement, please ask us first. Email is faster than a bank dispute, and we would rather just refund you. Disputing a charge with your bank can suspend the account while the dispute is open, which we would both rather avoid.
9. Where this does not apply
Some places give customers, and small businesses in particular, stronger cancellation rights than this policy does. Where the law gives you more than we have promised here, you get what the law gives you. This policy does not take away rights you have by statute. For customers with a signed order form, the order form governs where the two conflict.
10. Changes to this policy
If we change these terms we will change the version above. A change never applies retroactively to a payment you have already made. The version in effect when you paid is the one that governs it.
